Communications Plan

A conference call was held between Committee Members and Member Rofidal
regarding a communications plan to go forward for approval by the Steering Committee.
The Executive Committee supports the plan and agreed to allow Member Rofidal to
present the plan to the Steering Committee at their June 16, 2001, meeting. It was
agreed that there would be to purposes for the Communications Plan: Storage of
materials and Outreach to the community at large.
II. Consultant Engagement
A. Draft RFP
B. Schroeder Approach
It was agreed that some of the members of the Executive Committee would combine
elements of the Draft RFP with the Schroeder approach and create a hybrid "Request for
Qualifications" to solicit letters of interest from consultants. Upon receipt of the letters
of interest, the Executive Committee would conduct an interview session, (to include all
interested Steering Committee Members), to choose the desired team of consultants. A
"Work Plan/Scoping Session" would be conducted with chosen candidates to craft a
work plan. The recommendation of a consulting team will be given to the City Council
upon agreeing on a work plan.
III. Summary of May 12 Idea session
It was agreed that Member Montgomery would present the summary compiled of the
May 12th idea session organized by the seven guiding principles at the June 16, 2011,
Steering Committee meeting.

Meeting notes of the May 25, 2011, Executive Committee were corrected and approved.
There will be a place on the June 16, 2011, Steering Committee meeting agenda for
work groups to report on their activities.
